ARAG puts its trust in webPDF conversion software

Case Study: ARAG webPDF

One of the largest insurance companies in Germany has been using webPDF as its conversion solution since 2019. ARAG employs more than 4,100 people, has headquarters in Dusseldorf and Munich, and operates in 19 countries.

At this scale, large volumes of email communication and documents in different formats are generated every day. These contents must be provided in a standardized format for further processing and long-term archiving.

Why is email archiving a challenge?

  • Legally compliant long-term archiving requires a suitable and standardized target format.
  • Data protection requirements must be fulfilled at the same time.
  • Emails and attachments in various formats must be converted reliably.

For high data volumes, a powerful conversion solution is required. At ARAG, ARAG IT GmbH handled the integration of webPDF.

Initial situation and decision for webPDF

Before webPDF, ARAG used an in-house solution. With growing email volume and more file formats, this solution reached its limits. In addition, data protection and on-premises operation were core requirements.

The decision in favor of webPDF was made after searching for an integrable solution with a suitable API and local operation.

webPDF use cases at ARAG

  • Conversion of large volumes of incoming emails and attachments
  • Standardized PDF output for business departments
  • Better display quality and lower error rates in document workflows

Results after rollout

Since the rollout at the end of 2019, ARAG reports significantly more efficient processes, more stable conversion, and high acceptance in business departments.

webPDF is used as a central component of the archiving strategy. The goal is a largely uniform "PDF-only" process across all inbound channels, including OCR for scans and faxes.

Support and collaboration

Technical collaboration with SoftVision is described as close and solution-oriented. API documentation and support significantly helped both rollout and operations.
